Shop owner guide
Tap a topic to see the steps.
1Getting started
- Tap Build your store and enter your mobile number.
- Enter the 6-digit code we send on WhatsApp.
- Type your name, shop name and shop type. Your dashboard opens.
- Follow the setup checklist on the dashboard home page.
Your shop is reviewed by our team before it goes live. You can set everything up and test in the simulator meanwhile.
2Add products
- Open Products → Add product.
- Upload a clear photo (JPG/PNG/WebP, up to 5 MB).
- Enter title, a short 2-line description, price and quantity in stock.
- Optional: offer price (must be lower than price) and a category.
- Turn a product off to hide it from WhatsApp without deleting it.
Create categories (e.g. Sarees, Shirts, Kids) so customers can browse easily. WhatsApp shows up to 9 per list, with a “More” option.
3UPI payment settings
- Open Settings → Payment.
- Enter your UPI ID (like yourshop@okaxis) and the payee name.
- Upload your UPI QR code image.
- After checkout, the bot sends the QR, UPI ID and the exact amount to the customer.
4Welcome message & menu
- Open Settings → WhatsApp bot.
- Choose Tamil or English for bot messages.
- Write your welcome message. Use {store} for your shop name and {name} for the customer's name.
- Turn menu options on or off and reorder them: Search products, Shop details, Location, Contact number, Catalogue, My orders, Website, Talk to owner.
Options without data are hidden automatically — for example Website appears only after you add your website link.
5Connect your WhatsApp number
- Open WhatsApp in the dashboard.
- Enter your WhatsApp Business number and the display name customers will see.
- Enter the verification code to finish connecting.
- Share your wa.me link or print the QR poster for your counter.
We use the official WhatsApp Cloud API. A number can be connected to only one shop.
6Test with the simulator
- Open Simulator in the dashboard.
- Type “Hi” to see your welcome message and menu exactly as customers will.
- Try shopping, checkout and sending a payment screenshot.
- Use Reset chat to start over as a new customer.
7Manage orders
- Open Orders. New paid orders appear under Verify payment.
- Open an order, check the screenshot and amount, then Approve or Reject.
- Move the order to Packed → Out for delivery → Delivered.
- The customer gets a WhatsApp message at every step automatically.
8Sizes, weight & HSN
- Open a product and tap Sizes, weight & tax.
- Tap the sizes you sell (S, M, L, XL…) or type your own, like 32 or 7-8 yrs. Customers must pick one when they add it to the cart.
- For boxed items enter Pieces in one pack, e.g. 10.
- Add the packed weight and, for big boxes, the box size — courier charges use them.
- Add the HSN code, or set one default HSN in Settings → Invoice & GST.
9Courier charges by distance & weight
- Settings → Delivery & COD → turn on Courier.
- Choose By distance & weight, then add rows: up to how many km, up to how many kg, and the price. Start with sample prices if you like.
- Set a starting price — shown until the customer shares their location.
- Make sure your shop's map location is saved in Shop details; distance is measured from it.
The smallest row that fits is used, so list cheap nearby rows first and bigger, farther ones after.
10Invoices & GST downloads (Pro)
- Open Invoices. Pick This month, Last month, a month, or a From–To range.
- Search by invoice number, customer name or phone.
- Tap Download for GST (CSV) for CGST / SGST / IGST per invoice, or HSN summary (CSV).
- Open the files in Excel or Google Sheets and share them with your accountant.
11Block a spam number
- Open Customers and tap the ✕ next to the number (or Block on a computer).
- Pick why — spam, fake orders, fake payment screenshot — and tap Block.
- The bot stops replying, they can't order and they get no offers. Unblock any time from the Blocked tab.
